Privacy policy
Ema Note stores your records on your device. This policy explains how information is handled in the app and on this website.

1. Operator and scope
Pluralworks LLC (“we”) provides Ema Note and its official website. This policy applies to these services. Emopi, Emopi Diary and other services have their own privacy policies.
We comply with Japan’s Act on the Protection of Personal Information (APPI), Telecommunications Business Act and other Japanese laws, and, where applicable, the EU General Data Protection Regulation (GDPR), California Consumer Privacy Act (CCPA) and other privacy laws.

2. Records and appointments on your device
Your records, feeling labels and intensities, appointments, locations, talking points and display settings are stored on your device. No account is needed. We do not have a system that sends this content to, or stores it on, our servers. We do not use it for AI processing, diagnosis or ad delivery.
App lock uses the operating system’s biometric or passcode authentication. We do not receive biometric information or your device passcode. Reminders use local notifications on your device.
3. Exports, backups and deletion
PDFs and backup files go to the destination you choose. They contain the records or appointments selected for export, so check the destination before sharing. Appointment talking points are not included in the records PDF.
OS backups and device transfers follow your device and cloud service settings. Ema Note does not provide its own cloud sync. Importing a backup replaces the app’s current records and appointments.
Delete records and appointments in their respective edit screens. Uninstalling the app also removes its local app data. Manage and delete exported files and OS backups separately at their destinations. We cannot view or recover records stored on your device.
4. Connections for app updates
The app connects to Expo’s update service to check for and download updates. These requests do not include record or appointment content. The service receives technical information such as your IP address and the app, OS and version information needed to deliver updates. Writing and reviewing work offline.
5. Tracking and service notices
The app does not include analytics, advertising or crash collection SDKs. We do not track app usage or target ads using record content.
You may see notices about services from the developer or its partners. Opening a link takes you to an external website or store without including your records or appointment content. The destination’s terms and privacy policy apply there.
6. Website and support
We use Cloudflare to deliver and protect this website. Technical information such as your IP address, requested URL, access time and browser may be processed for delivery and security. We do not install advertising or behavioral analytics tags on this site.
When you contact support, we handle your reply address, message and any app or device information you choose to provide to respond, investigate problems and address misuse. We use service providers such as email services. Please do not send record content, medical history, passwords or other information that is unnecessary for support.
We retain support, delivery and security information only for the period needed for its purposes or required by law. We determine this period considering the type, purpose and sensitivity of the information, legal and contractual obligations, the need to address misuse or disputes, and providers’ retention settings. We delete information when it is no longer needed. Removing the app does not automatically delete support information already sent to us.
We do not process personal information beyond the purposes described in this policy without your prior consent, except as permitted by law.
7. Safeguards and disclosure
Access to support information and other information we handle is limited to personnel who need it. We work to prevent unauthorized disclosure through access controls, protection of credentials and communications, and appropriate selection and oversight of service providers. Contact us for further information about safeguards, subject to security considerations.
We do not provide personal data to third parties without your prior consent, except as permitted by law. We do not sell personal information or “share” it for cross-context behavioral advertising as defined by the CCPA.
We may entrust personal data to service providers to the extent needed for the stated purposes. The main providers are Expo for app updates, Cloudflare for website delivery and protection, and email services for support. Sections 4 and 6 describe the information and purposes. Record and appointment content is not sent for app updates or website delivery. We exercise necessary and appropriate oversight of our providers.
Support, delivery and security information may be stored or processed on servers operated by providers or their subprocessors in the United States or other countries. Under Article 28 of the APPI and other applicable law, we obtain consent where required or confirm arrangements, such as contractual safeguards, that continuously ensure equivalent protective measures. Contact us for information about foreign legal systems, providers’ safeguards and other information required by law. On-device records, exports you choose and OS backups are handled as described in Sections 2 and 3.
8. Your requests and contact
Subject to the requirements and procedures of the APPI and other applicable law, you may request notification of purposes of use, access (including electronic records), correction, addition, deletion, suspension of use, erasure or cessation of third-party provision of your personal data held by us.
Where the GDPR, CCPA or other regional laws apply, you may also exercise rights provided by those laws, including data portability (receipt in a structured, machine-readable format), restriction of or objection to processing, opt-out and complaints to a supervisory authority. You may withdraw consent to consent-based processing at any time, without affecting the lawfulness of processing before withdrawal. We do not unfairly discriminate against you for exercising your rights.
Use the contact form below for rights requests, questions or complaints about personal information. We verify the identity of the requester or authorized representative as needed and respond under applicable law. If the law permits us to decline all or part of a request, we explain the reason where possible.
We cannot view or operate on records that exist only on your device. View, export, correct or delete that content in the app or at the destination you selected.
9. Changes
We may change this policy following changes to laws, the service or external providers. We post the changes and their effective date in the app or on the official website and give appropriate notice of material changes before they take effect. Where new consent is required by law, we obtain it before starting the changed processing.
10. Official language
The official text of this privacy policy is the Japanese version. If a translation conflicts with the Japanese version, the Japanese version prevails. This does not restrict protection under mandatory laws applicable to you.
